Agreement Between Armed Forces Day (AFD) Event Organisers Causeway Coast and Glens Borough Council (CCGBC) & Traders/Exhibitors at AFD 2026
1. Once your application has been deemed successful, payment will be taken. Traders will not be permitted on site if payment has not been secured by Causeway Coast and Glens Borough Council.
2. Traders must provide valid Public Liability & Employers Liability Insurance covering the proposed activity at time of application.
3. Traders must provide a Risk Assessment for their stall setup at time of application.
4. Traders must provide their company policy for Safeguarding Children & Adults in Need.
5. Traders must set up and remain within the boundaries allocated by event staff. This includes generators, tow bars, guy ropes, etc.
6. Traders must operate for the full duration of the event 10am – 4pm. You must not dismantle or remove any equipment during these times.
7. All vehicles must be removed from the site by 9am, no exception and may not return until the event closes. Closest carpark is Waterside, Coleraine – free parking.
8. Please note that trading/pitch locations will be assigned by the Event Organisers in the best interests of the event. There will be no exceptions for late arrivals.
9. Event Organisers - CCGBC will inform Traders of their allocated trading location and set-up time. The decision of the Event Organisers is final.
10. For public safety, vehicles must not be moved within the event site at any time during the event. Event and Security Officers will monitor the site to ensure full compliance. No vehicles are permitted to park with each trading unit.
11. Subletting is not permitted, the trading concession paperwork applied as part of this process must fully correlate. Event Organisers will monitor the site to ensure full compliance.
12. The sale of food, drinks, alcohol, cigarettes, fireworks, weapons, imitation weapons, BB guns, knives, party/silly string, stink bombs, lasers, unmanned aerial vehicles (e.g. drones and RC aircrafts), piercings, tattoos, animals, offensive literature or items or other restricted items are not permitted.
13. The sale of event-branded merchandise without prior consultation and permission is prohibited.
14. Traders must be FULLY self-sufficient; no gazebos or generators are to be shared with other traders.
15. Generators must be diesel and appropriately earthed. Generators and fuel must be safely secured from public access with barriers.
16. The successful applicant must refrain from speaking to, or making any verbal or written comments to, media representatives or freelance journalists without following the proper protocol and obtaining written permission from the Council’s designated Communications Officer.
17. Traders are responsible for removing all waste generated by their stall and must not use designated Event bins placed for public use. Any trader found using Event bins will be charged £45 clean up fee.
18. Event officers will inspect and photograph pitches following the event. Any waste or damage left behind will result in a clean-up charge of £45.00, the invoice will be issued by Causeway Coast & Glens Borough Council.
19. A minimum of 21 working days’ written notice by email to events@causewaycoastandglens.gov.uk is required to cancel a trading pitch. Where more than 21 working days’ notice is provided, a full refund will be credited. Cancellations within 21 working days of the event will not be refunded, except in exceptional circumstances (e.g. family bereavement or serious illness). Medical certification must accompany any refund request. Failure to provide a satisfactory written explanation will result in the full payment being forfeited, with no entitlement to credit. Traders are advised to ensure adequate insurance cover is in place. Where sufficient notice is given, the Council reserves the right to engage an alternative provider from the approved traders list.
20. The Council reserves the right to cancel any event or pitch for any reason, including (but not limited to) force majeure. Successful applicants will be notified as soon as reasonably possible, without penalty. The Council may, at its discretion, may amend the scope of the event to accommodate event cancellations and will endeavour to provide sufficient notice where possible, without penalty.
